Personal Assistant

Location: Killingworth, CT (mostly onsite)

Job Type: Part-Time

Seeking a highly organized and proactive Personal Assistant / Property Manager to support operations and manage various aspects of local property and events as well as provide personal assistance to owner. This role requires an individual who is a flexible, self-starter and can offer exceptional service. 

Key Responsibilities:

  • Property Management:

    • Oversee the general maintenance and upkeep of properties, including:

      • Schedule and supervise regular household staff, including cleaners, gardeners, and other service providers.

      • Manage and schedule routine cleaning, repairs, and maintenance.

      • Coordinate with contractors and maintenance staff, as needed.

  • Short-Term Rental Management:

    • Manage Airbnb listing, including:

      • Updating listing, refreshing calendar, and responding to inquiries and messages.

      • Preparing property for rentals and ensuring they are guest-ready.

      • Manage household inventories and ensure supplies are stocked.

      • Be available to meet service providers onsite and coordinate any emergency requests or repairs.

  • Event Preparation:

    • Manage small group events for the house, including:

      • Oversee event timelines and ensure all preparations are on schedule and completed.

      • Perform event setup and reset during and after events.

      • Place grocery orders and pick up food and event supplies. 

      • Shop, prep, and prepare light food for events (~25 people max).

      • Provide support around event communications and marketing.

  • Personal Assistance:

    • Shop for groceries and household supplies.

    • Prepare meals and snacks according to dietary preferences and schedules.

    • Perform tasks and projects for property owner.

    • Handle special requests and errands for property owner.

  • Strong organizational skills and a process-oriented approach.

  • An ability to handle multiple tasks and projects at one time, and move all forward and across the finish line. 

  • Problem-solving attitude and ability to work under pressure.

  • A disposition to provide efficient and effective solutions.

  • Excellent communication and interpersonal abilities. 

  • A desire to provide exceptional customer service and outstanding hospitality. 

  • Ability to handle sensitive information with discretion.

  • Flexibility to work some evenings and weekends, as needed for events & rentals.

  • Proficiency with Google Suite and Microsoft Office Suite.

Preferred Skills:

  • Proven experience as a Personal Assistant, Property Manager, House Manager, Hospitality Manager, or in a similar role.

  • Experience with Airbnb or other short-term rental platforms.

  • Event planning experience.

  • Basic culinary skills or a keen interest in food presentation.

  • Knowledge of household systems and appliances.
